Terms of Service

1. Booking and Payment

• All reservations must be made in advance through our website, booking platform, or reservation specialist.
• A valid credit card is required at the time of booking.
• Your card will be charged at the time of booking to confirm your reservation.
• Virginia Airlink does not accept cash or checks for passenger fares.
• Prices are subject to change based on travel distance, time of day, vehicle type, and applicable fees.

2. Cancellation Policy

• Cancellations must be made at least 24 hours prior to the scheduled pickup time to receive a full refund.
• Cancellations made within 24 hours of the scheduled pickup are non-refundable.
• No-shows (failure to appear at the designated pickup location) are treated as late cancellations and are non-refundable.

3. Flight Delays and Wait Time

• Please see our Wait Time Policy below for more information.

4. Passenger Responsibilities

• Passengers must provide accurate flight, contact, and pickup details at the time of booking.
• It is the passenger’s responsibility to have a working cell phone powered on and available upon landing.
• Please meet your driver at the designated pickup location communicated via text or email.
• Smoking, vaping, or open containers of alcohol are strictly prohibited in all vehicles.

5. Additional Fees

• Additional stops, excessive luggage, or route changes may incur extra charges.
• Cleaning fees may apply if a passenger soils or damages the interior of the vehicle.
• Toll, parking, and airport fees are included unless otherwise stated at the time of booking.

6. Service Limitations

• Virginia Airlink is not liable for delays caused by traffic, weather, road closures, or events beyond our control.
• We reserve the right to cancel or refuse service to any passenger for safety, legal, or operational reasons.
• Vehicle type and driver assignment may vary based on availability.

7. Refunds

• Refunds, when applicable, are processed to the original form of payment within 5–7 business days.
• Refunds are not available for missed flights, last-minute cancellations, or no-shows.

8. Liability Disclaimer

• Virginia Airlink is not responsible for missed flights, lost items, or personal belongings left in the vehicle.
• Passengers assume responsibility for ensuring sufficient travel time to and from the airport. 

9. Agreement

By completing a reservation with Virginia Airlink, you acknowledge that you have read, understood, and agree to these Terms of Service.

10. Messaging Policy

 You agree to receive informational messages (appointment reminders, account notifications, etc.) from Virginia Airlink. Message frequency varies. Message and data rates may apply. For help, reply HELP or email us at privacy@virginiaairlink.com. You can opt out at any time by replying STOP. 

wait time policy

1. Overview

This policy explains how wait time may be calculated and billed when flights are delayed or passengers take longer than expected to meet their driver after arrival.

2. Complimentary Wait Time

We offer the following complimentary (free) wait time periods after your flight lands:
- Domestic Flights: 60 minutes
- International Flights: 90 minutes 

3. Billing for Additional Wait Time

If the passenger has not met the driver within the complimentary wait period, additional wait time will may be billed in 20-minute increments as follows:
- Minivans & SUVs: $20 per 20 minutes
- Passenger Vans & Group Vehicles: $30 per 20 minutes
 

Wait time is automatically tracked and added to the final invoice. Partial increments are rounded up to the next 20-minute block.

4. Calculation Method

Wait time begins after the flight lands, based on verified live flight tracking data. If the passenger has requested a fixed pickup time not tied to a flight, wait time begins at the scheduled pickup time.
 

If the flight arrival time changes, Virginia Airlink will automatically adjust the driver’s dispatch time to match the new arrival whenever possible. However, if a driver is already on-site, wait time will apply according to this policy.

5. Extended Delays and Rescheduling

If a flight is delayed by more than two (2) hours, Virginia Airlink reserves the right to:
- Reschedule your pickup to a later time depending on driver availability and scheduling conflicts, or
- Cancel the trip with partial refund minus expenses.
 

Our dispatch team will notify passengers of any such adjustments as soon as possible.

6. Communication Responsibilities

Passengers must ensure they have a valid, powered-on mobile phone available upon landing to receive calls or texts from their driver. Failure to respond to driver communication may result in wait time charges or trip forfeiture.

7. Policy Visibility and Acknowledgment

This wait time policy is publicly available on our website, included in reservation confirmations, and acknowledged upon booking. By booking transportation with Virginia Airlink, passengers agree to these terms.
